PO Line Matching Quality and Logic

Basics

1. Semine will match POs with PO Invoices using the PO Number as a reference.
2. Semine will then compare each field on the PO Invoice Line with corresponding field across all PO Lines to find all matching fields across all lines.
3. Each PO line is assigned a matching quality score depending on the count and type of matching fields.
4. Finally PO Lines with matching fields are a sorted by matching quality and the highest quality match above the matching quality minimum limit is automatically selected.

Determining matching quality

Only identical field values will match

An invoice line field with a value will:

• Only match EXACT FULL values. "Description ABC" will only match "Description ABC".
• It will not match "Description A"
• It will not match a substring of a PO Line description such as "Another Description A"
• It will not match "Description XYZ"

  

Determining Matching Quality

The best matching PO line is determined by adding up the type of matching fields as well as how many fields match on each PO Line.

In the example below, fields in the top invoice line match fields on 1 or more PO Lines:

• Red: PO Line Number Match on PO Line 1
• Orange: Description match on PO Lines 2 and 3
• Blue: Quantity match on Lines 2 and 4

If we count the number of matched fields per line, we get:

• Line 1: 1 field
• Line 2: 2 fields
• Line 3: 1 field
• Line 4: 1 field
  So, in this example, line 2 has the higher number of matching fields and will be listed as the highest Percentage Match which will be automatically applied if the resulting percentage is higher than the Minimum Match Quality in settings.
  However, a matching PO Line Number (red) is considered a Certain Match awhich ranks above a Percentage match. So, whenever there is a PO Line Number match, this will applied automatically.

Best matching quality

• The invoice line PO Line field match the POs PO Line field.
• The invoice fields Quantity + Unit Price + VAT + Net Amount match the corresponding fields on the invoice.
  In this hypothetical example, all PO Lines and Invoice Lines would match with the best quality and the match would be applied automatically.

When Invoice Line match multiple PO Lines

Match quality score is calculated for each line by adding up the score for each field.

When Invoice Line multiple fields in same column

Multiple matches on the same column receive the same match quality score per line. In this case, the result is a tie and Semine will require manual selection of the correct match.
