In this article, you will learn how users can edit the information in "My Profile", how administrators can manage users in the Administration panel, what needs to be done when changing e-mail addresses, and other related information.
How to change name, phone number and language
Administrators cannot change this information on behalf of users. Users must update their own name, phone number, and language settings under "My Profile".
This is what your profile looks like, and you can edit your first name, last name, phone number, and language here. You can also change your password. Press "Save changes" when finished:
How to change email address
- Wrong e-mail for new user:If you have a new user with an incorrect e-mail address and the user has not logged in to SEMINE yet, you can remove the assigned roles for this user and then enter the correct e-mail address and assign the access they should have. (See the section "How to remove user access" below for more information.)
- Changing e-mail for an existing user:If you have a user who is active in SEMINE but, for example, has changed their last name, a request must be sent to us to change the e-mail address while keeping the existing user profile.
- Other reasons for changing an e-mail address:If a user's e-mail address needs to be changed for any other reason, you must submit a request so that we can make the change.
How to remove user access
- Remove access in the Administration panel:
- To remove all access, go to Administration panel - Users and click the edit button for the user whose access you want to remove:
- Untick all organizations and groups so that the fields are empty. Then click "Save changes":
When this is done, the user will no longer have access through any assigned groups or organizations in SEMINE.
- To remove all access, go to Administration panel - Users and click the edit button for the user whose access you want to remove:
Remove user from workflows:
As a final step in removing access, it is necessary to remove the user from any workflows they are part of. Find the workflows the user is part of and add another user who will take over their responsibilities. Also check whether the user has any assigned invoices and forward them to another approver or override approval for them if required (Controllers can override approval).
How to deactivate or reactivate a user
- Go to Administration - Users and open the user you want to manage.
- Locate the Status field.
- Select "Inactive in ALL clients" to deactivate the user.
- To reactivate the user, change the status back to "Active".
- Click Save changes.
