In this article, you will learn how the user can edit the information under "My Profile", how the Administrator can remove users in the Administration panel, what needs to be done when changing e-mail addresses and other relevant information regarding this.
How to change name, phone number and language
Administrations cannot change this information on behalf of users as of now. The user has to change their name, number and language themselves under "My profile".
Click on your initials at the top right, then select "My Profile":
This is what your profile looks like, and you can edit your first name, last name, number and language here. You can also change your password. Press "Save changes" when finished:
How to change email address
Changes to e-mails currently has to be performed by employees of Semine, as this is linked to your profile in the system. The e-mail field will therefore appear as gray (disabled) both for users in the Administration panel, and for users under "My profile". Below are some examples of necessary e-mail changes.
-
Wrong e-mail for new user:If you have a new user with wrong written e-mail address, and the user has not logged in to Semine yet, you can remove assigned roles for this user, and then enter the correct e-mail and assign the user the accesses he/she should have. (See section "How to remove user access" below for more information on this).
-
Changing e-mail for existing user:If you have a user who is active in Semine, but for example has changed his/hers last name, a request must be sent to us to change the e-mail so that we can change it and keep the user as it is.
-
Other reason for changing e-mail:If you have a user who for other reasons needs a change in their e-mail, you must also submit a request for this so that we can make a change.
How to remove user accesses
How to remove access for users who for example have quit, or for some other reason no longer shall have access to Semine.
In the same way as an administrator give users different accesses through groups, one can also remove these accesses. Here you will see an example of removing all accesses, which then leads to the user being completely hidden from the both the Administration panel and elsewhere in Semine. For preservation of information, we never delete a user completely, only hide the user from the system. When removing access, it will also be necessary to remove the user from any workflows of which he/she is a part of.
- Remove accesses in the Administration panel:
- To remove all accesses, go to Administration panel - Users - Click the edit button for the user you want to remove access for:
- Then untick all organizations and groups so the field display as empty. Then click "Save changes":
When this is done, the user will be removed from the user list and elsewhere in Semine.
- To remove all accesses, go to Administration panel - Users - Click the edit button for the user you want to remove access for:
- Remove user from workflows:
As a final step in removing the user, it is necessary to remove them from any workflows. Find the workflows the user is part of and add another user who takes over the roles of the removed user. Also check if the user who has been removed has assigned invoices, and then forward them to another approver or override approval for them (Controllers can override approval).
