The Dimension on Header feature allows you to display and use dimension fields in the invoice header when processing invoices in a similar way that we do for invoice lines.
Enabling the Dimension on Header
At organization level
- Go to Settings → Organization Settings → SEMINE General.
- Select Use Dimension on header.
- Save the changes.
At client level
- Go to Settings → Client Settings → SEMINE General.
- Choose whether to inherit from organization or manage the setting locally.
- If managing locally, select Use Dimension on header.
- Save the changes.
Configuration requirements
To use dimensions in the invoice header, the following configuration is required. This can be set manually or be reflected in your current ERP-integration.
1. Enable Resource Account on the GL Account
- Go to Settings → Accounting parameters → Account.
- Open the relevant GL Account.
- Enable Resource account under the Settings tab.
- Save the changes.
2. Add dimension relations to the GL Account
- Open the GL Account.
- Go to the Relations section.
- Add the required dimension relations.
- Define whether each relation Requires any or Requires specific.
- Save the changes.
3. Link the supplier to a GL Account
- Go to Settings → Suppliers.
- Open the relevant supplier.
- Select the required GL Account.
- Save the changes.
How the feature works on invoices
When the Use Dimension on header setting is enabled and an invoice is received from a supplier linked to a GL Account with dimension relations:
- The related dimension fields are displayed in the invoice header.
- The available fields depend on the relations defined for the selected GL Account.
When the Use Dimension on header setting is disabled, header dimensions are not shown, even if relations exist on the GL Account.
Entering or selecting header dimension values
In the invoice header, you can:
- Select a GL Account from the drop-down list.
- View available header dimension fields based on the selected account.
- Select or update dimension values, if required.
Changing the GL Account may update the available header dimension fields.
Examples of relation behaviour
Require specific
When a relation is set to Require specific, the dimension value defined in the relation is automatically filled in the invoice header.
Require any
When a relation is set to Require any, the dimension field is shown in the invoice header and a valid value must be selected.
Counterpart and automatic prefilling of header dimensions
If your integration supports syncing counterpart information on suppliers, you can use this to automatically prefill dimension values in the invoice header.
When a supplier is configured with a counterpart value, and the selected GL Account has relations that include the corresponding dimension, the dimension value can be prefilled in the invoice header when an invoice is received.
Validation when generating accounting lines
Validation of header dimensions is only performed when the Use Dimension on header setting is enabled. When generating accounting lines, if the selected GL Account has one or more dimension relations and a required header dimension value is not entered, an error message is displayed and accounting lines are not generated.
