In SEMINE, it is possible to create various invoice flags. These invoice flags provide the capability to label invoices with specific conditions, categories, or other criteria, depending on the needs of the business. This makes it easier to identify, filter, and sort invoices based on various criteria.
In addition to manual flagging, you can set up custom Automations to apply flags. This means you can configure Automations that automatically flag invoices based on specific rules or conditions. For example, you can create flags that are applied to all invoices that exceed a set amount, have a due date within a specific timeframe, or have been changed by an approver.
You can also use invoice flags as a condition in Workflows, both under Add if and Start when.
Flag Role
Controllers have access to create flags, but it can also be added as an additional role. Go to Roles in the group - Add-ons: Set flags.
Creating/Editing Flags
Under General - Flag, you can create new flags and change existing ones. Flags can be set up at the organization level or for a selected client, and you can choose the name and color for the flag.
Under Flags, you'll see a list of all created flags and whether they are active or inactive.
When creating a flag, you must add a name that identifies the flag and choose color.
Press Create flag - Choose name and color - Add:
Disable/Enable Flags
In the Active column, you can see the status of each flag. A checkmark means it's active. To deactivate, simply uncheck it. Note that by deactivating a flag, it can no longer be applied, and invoices marked with the selected flag will not change.
Sorting and Filtering Views on Flags
You can filter flags just like other fields. Bring up the Flags field if you don't have it selected:
Choose either sorting by Flags from the organization or by the client:
Create a Custom View for Flag Type
If you want to create a custom view for one or more flags, you can easily do this from the invoice list. For example:
Select Flag - Save New View (or Overwrite existing view if you want to include it in an existing view).
Flag Invoice
You can manually flag an invoice, both when having one open or from the invoice list. If you want to create an Automation that automatically applies flags under certain conditions, refer to the next section "Flags and Automations."
Example from an invoice: Click on the flag on the invoice and apply or change it. Changes will be logged in the activity log.
Example from the invoice list: Go to the Flags column and click on the flag to set or remove the desired flag.
Flags and Automations
You can create Automations that apply or remove flags on invoices or are triggered by flags. Note that the flag must be created (as described above) before it can be used in Automations.
Example of Automation that sets a Flag on an invoice: Choose Action - Set Invoice flag - Set Flag or Remove Flag.
Example of Automation triggered if a flag exists on an invoice: Choose Condition - Invoice Flag.
Flags and Workflows
Flags can also be used as a condition in Workflows, either for Add if or Start when. Note that the flag must be created (as described above) before it can be used in Workflows.
